Payment and Insurance at Cascading Roots Child Counseling

Private Pay

Your child’s privacy matters to us. Cascading Roots is a private pay practice, which means we don’t bill insurance directly. Insurance billing generally requires a mental health diagnosis, and by not participating in insurance panels we are not required to give a diagnosis that remains on your child’s permanent mental health record.

Payment is due at the time of each session. Payments are processed securely through our online client portal, and we accept all major credit cards.

Out-of-Network Benefits

Some insurance plans reimburse a portion of therapy costs when you see an out-of-network provider. If your plan includes this, we can provide a superbill, a detailed statement of services, to submit to your insurance company. It uses an ICD-10 code showing that a diagnosis is deferred, so no formal diagnosis is attached to the claim.

You’ll pay at each session, submit the superbill yourself, and your insurer will reimburse you directly. Before scheduling your free consultation, we encourage you to call your insurance company and ask whether your plan covers out-of-network mental health services and what percentage it reimburses.

Apple Health (Medicaid)

Because we’re a private pay practice, we’re not able to see children covered by Apple Health (Washington’s Medicaid program). This includes Apple Health managed care plans. If that’s your child’s coverage, your health plan or the Washington State Health Care Authority can help you find in-network child mental health providers in your area. We’re happy to answer any questions you have about finding the right fit.

Your Right to a Good Faith Estimate

Under the federal No Surprises Act, you have the right to know what your child’s care will cost before it begins. If you don’t have health insurance, or you choose not to use it, you can receive a Good Faith Estimate: a written breakdown of the expected cost of your child’s non-emergency services.

At Cascading Roots, we provide a Good Faith Estimate to every self-pay family. You can also request one at any time, even before you schedule your free consultation.

If your final bill is $400 or more above your Good Faith Estimate, you have the right to dispute it. We recommend saving a copy or a photo of your estimate so it’s easy to find later.
